In the modern workspace, saving data and information to the cloud has become increasingly commonplace. As such, natural worries and concerns have arisen. You may be asking yourself: “Where is my data saved? How is it protected? What system of checks is in place?”
At Solutions, we strive to work with you in an open and transparent manner. Our team of experts are available to answer any questions you may have regarding your data’s security and retention.
We host your data on Microsoft Azure servers, typically located in the UK south (unless a customer specifically requests an alternative).

Customer data is backed up daily with the following retention policy.
- Daily backups are held for one week.
- Weekly backups are held for four weeks.
- Monthly backups are held for 12 months.
This ensures your information is backed up regularly, so in the event of outage or unexpected downtime, you can rest assured that your data is secure.
Microsoft’s centres have fail-safes in place to protect your data
Relying on a third-party location to keep your data safe and secure requires a degree of trust, but it is reasonable to want some reassurances in place.
Microsoft’s data centres are covered under their IT controls from equipment failures and are protected from environmental risks.
The data centres have a dedicated, uninterruptible, 24/7 power supply, as well as emergency power support, which may include generators. Regular maintenance and testing are conducted on both the power supply and the generators. There are also provisions in place for emergency fuel deliveries.
The data centre has a dedicated Facility Operations Centre to monitor key requirements, such as:
- The Heating, Ventilation and Air Conditioning (HVAC) system, which controls and monitors space temperature and humidity within the centre, as well as pressurisation and outside air intake
- Fire Detection and Suppression systems
- Power systems, including all critical electrical components (generators, transfer switches, main switchgear, power management modules, and the uninterruptible power supply equipment).
Regular, routine maintenance is performed on all facility and environmental protection equipment. All these safety checks and processes are reviewed regularly.
Solutions ensure your hosted data’s cybersecurity is up to date, tested, and always compliant
Cybersecurity and the potential for data breaches are regularly cited as a primary concern for customers considering cloud-based computing. At Solutions, we work hard to ensure your data is hosted in a professional manner with up-to-date cybersecurity, regular testing, and the appropriate compliance checks in place.
Solutions for Accounting are Cyber Essentials Plus accredited. Meanwhile, Microsoft (in connection with Azure) hold ISO27001/27002/270018 certification. Further details can be found on their compliance and certification page.
In addition, several other checks and balances are in place to help ensure your data is safe and secure, such as:
Our hosting provider, Microsoft, provides SOC 1 Type 2 and SOC 2 Type 2 reports to customers (on request)
Traffic to and from cloud services being encrypted at the transport level (HTTPS)
Classified data found on local hardware being encrypted at rest
Network isolation and firewall policies being in place
Network traffic within the data centre being monitored by our hosting provider (Microsoft)
Multifactor Authentication being enforced at point of login
Endpoint managed antivirus protection being used in all Solutions for Accounting hosting environments
Solutions regularly conducting penetration tests through independent third parties.
At Solutions, we also take additional internal steps to make sure the safety and security of your data is prioritised.
We operate a documented incident management procedure to handle a multitude of incident types, including any security breaches. Our internal policy ensures we comply with our statutory obligations and that we follow the guidance provided by the UK Information Commissioners Office on breach reporting.
While Solutions staff deal with upgrades to your operating system, the creation and maintenance of user accounts, and regular maintenance of your system, they do not have physical access to the network and computing infrastructure that hosts your applications.
Our team will do everything in their power to ensure your data is protected and that you are informed about any updates, changes, or potential outages. However, you should also ensure that your own security practices are in place and any internal user access is regularly reviewed.
