4 simple steps to break down your payroll year-end process

Our payroll guru, Neil Larsen, outlined the key lesson businesses should remember about payroll year-end when he said:

“Payroll year-end seems like a much more daunting task than it is and can cause a lot of stress.

Just remember all you need to do is a quick submission to HMRC and print out forms for your employees.

The payroll year-end process can seem complicated at first glance, but if you follow these simple steps, you’ll soon find it simpler and easier to handle.

Step 1: Process your final pay run

You’ll need to complete your final pay run of the tax year and process any leavers.

Step 2: Process your year-end

You’ll want to utilise your payroll software to choose the tax year and submit your final submission by the 19th of April deadline.

Step 3: Get your P60s ready

You’re required to generate P60s for employees working on the final day of the tax year. Make sure you deliver them by the 31st of May, ensuring you summarise pay and deductions for the year.

Step 4: Check the P9s and start your new payroll year

You’ll need to check the IR secure mailbox or HMRC Government Gateway for P9 notifications to apply any tax code changes for your employees.

The key dates and changes you need to know as the payroll year-end approaches

There are two crucial dates to have firmly marked in your planner as you head towards the year-end. They are the:

  • 19th of April (the deadline for your final submission to HMRC)
  • 31st of May (the date by which all of your employees need to have received their P60s).

You should also be aware of several other important dates, such as the:

  • 5th of April (the end date for the 2025/26 tax year)
  • 6th of April (the beginning of the new tax year 2026/27)
  • 22nd of April (the deadline for the month 12 PAYE and online payment submission)
  • By the 6th of July (the deadline for reporting on expenses and benefits)
  • 22nd of July (this is the deadline for your payments of class 1A National Insurance contributions on Benefits in Kind, which must be with HMRC or by 19th of July if you’re not using digital systems).

Several new legislative changes are coming in the 2026/2027 tax year that you should also be aware of

Statutory Sick Pay (SSP)

From April 6th, all employees will be entitled to SSP, regardless of their earnings, yet the amount varies depending on their income. It will now be paid from the first day of sickness, instead of from the fourth day.

Paternity leave

From April 6th, both paternity leave and unpaid parental leave will become day-one rights for employees. Previously, employees needed 26 weeks’ service to qualify for paternity leave and 52 weeks for unpaid parental leave, but this will no longer be the case. Please note: This only affects leave entitlement and not paternity pay.

Small Employers Relief

From April 6th, the rate of compensation for the Small Employers Relief will increase from 8.5% to 9%. As a result, employers who qualify for this can reclaim 109% from HMRC (100% of the Statutory Payment, plus 9% compensation).

Remember: The increased statutory wage rates and changes to National Insurance announced in the UK’s Autumn Budget 2025 will also come into effect from April 2026.
